Position Summary

The Director of Facilities is responsible for the strategic planning, management, and oversight of all facilities, properties, and physical assets of the organization. This includes building maintenance, capital planning, construction and renovations, lease management, property acquisitions and dispositions, safety and compliance, utilities management, and vendor oversight. The Director ensures that all facilities are safe, functional, cost-effective, and aligned with organizational growth and operational needs.

Qualifications

  • Bachelor’s Degree in Facility Management, Construction Management, Engineering, Business, or a related field (Master’s a plus)
  • 7–10 years of facilities, property, or construction management experience
  • Experience managing multiple locations preferred
  • Knowledge of building systems, construction, leases, and property management
  • Strong budgeting and capital planning experience
  • Experience managing vendors and construction projects
  • Prior supervisory experience required
  • Knowledge of life safety, applicable regulatory standards, and compliance
  • Strong leadership and project management skills
  • Excellent oral, written, interpersonal, analytical, and organizational skills
  • Ability to work independently as well as collaboratively as part of an effective team
  • Working knowledge of standard software applications related to business and, where applicable, facilities management or infectious diseases

Responsibilities

Facilities Operations & Maintenance

  • Oversee maintenance and repair of all buildings, grounds, and physical infrastructure.
  • Develop and implement preventative maintenance programs for all facilities and equipment.
  • Manage work order systems and track performance metrics such as work order completion times and recurring issues.
  • Ensure facilities are clean, safe, and operational at all times.
  • Oversee HVAC, electrical, plumbing, roofing, and building systems maintenance.
  • Manage snow removal, landscaping, parking lots, and exterior building maintenance.
  • Maintain facility condition assessments and long-term maintenance plans.

Property & Real Estate Management

  • Oversee all property-related matters including owned and leased properties.
  • Manage leases, renewals, terminations, and landlord relationships.
  • Coordinate lease negotiations in collaboration with finance and legal.
  • Oversee property acquisitions, dispositions, and due diligence.
  • Maintain property records including leases, site drawings, warranties, and building documentation.
  • Ensure compliance with lease terms including maintenance responsibilities and tenant improvements.
  • Coordinate site selection and feasibility analysis for new locations.

Construction & Renovations

  • Manage construction projects, renovations, and facility expansions.
  • Coordinate architects, engineers, contractors, and project managers.
  • Develop project budgets and timelines and ensure projects are completed on time and within budget.
  • Oversee tenant improvements and build-outs for new locations.
  • Ensure construction projects meet building codes, ADA requirements, and safety standards.
  • Provide regular project updates to executive leadership.

Capital Planning & Budget Management

  • Develop and manage annual facilities operating and capital budgets.
  • Create long-term capital replacement plans for roofs, HVAC systems, parking lots, equipment, and major building components.
  • Prioritize capital projects based on safety, operational needs, and financial impact.
  • Monitor facility operating costs including utilities, maintenance contracts, and repairs.
  • Identify cost savings opportunities related to energy usage, utilities, and maintenance contracts.

Safety, Compliance & Risk Management

  • Ensure all facilities comply with local, state, and federal regulations.
  • Oversee building inspections, fire inspections, life safety systems, and environmental compliance.
  • Maintain emergency preparedness plans for all facilities.
  • Oversee security systems, access control, cameras, and alarm systems.
  • Ensure compliance with OSHA, ADA, and other regulatory requirements.
  • Coordinate facility-related insurance inspections and risk management recommendations.

Vendor & Contract Management

  • Select and manage vendors for maintenance, repairs, landscaping, snow removal, janitorial, and construction.
  • Negotiate service contracts and monitor vendor performance.
  • Ensure vendor contracts are cost-effective and meet service expectations.
  • Manage bid processes for major repairs and construction projects.

Utilities & Energy Management

  • Oversee utilities including electricity, gas, water, sewer, and waste services.
  • Monitor utility usage and implement energy efficiency initiatives.
  • Evaluate opportunities for energy savings such as LED lighting, building automation, and HVAC upgrades.

Leadership & Strategic Planning

  • Develop a long-term facilities strategy aligned with organizational growth.
  • Participate in strategic planning related to expansion, new locations, and property investments.
  • Provide facility and property recommendations to executive leadership.
  • Supervise facilities staff and maintenance teams.
  • Establish facilities policies and procedures.
  • Lead Joint Commission planning from a Facilities perspective
  • Assume other related responsibilities as assigned by leadership

Schedule:

  • Hours: Monday-Friday 8:30am-5:00pm

Work Location: Onsite-Rosecrance Rockford East

Compensation & Rewards (pay is based on education, experience, and credentials)

  • Starting Salary: $120,000
