About the Job
We are seeking a Service & Operations Administrator to support our growing team across solar, HVAC, and building envelope services. This role is essential to keeping our day-to-day service operations running smoothly.
You will serve as a central point of coordination between customers, field teams, and internal departments—managing scheduling, communication, and administrative processes to ensure a seamless experience from start to finish.

Key Responsibilities
Customer Communication & Scheduling
- Act as a primary point of contact for customer inquiries, service updates, and scheduling
- Coordinate appointments and ensure timely, professional communication
- Maintain a high level of customer satisfaction throughout the service process
Service & Operations Coordination
- Schedule and coordinate field crews across solar, HVAC, and envelope divisions
- Track job progress and ensure alignment between office staff and field teams
- Assist with coordinating service diagnostics and job requirements
Quoting & Invoicing
- Prepare and manage service quotes and proposals
- Generate and process invoices accurately and in a timely manner
- Support internal teams with job documentation and tracking
Vendor & Material Coordination
- Communicate with vendors and manufacturer partners
- Assist with warranty claims, RMAs, and service-related materials
- Help track inventory and coordinate needed materials for jobs
Administrative Support
- Maintain accurate records in CRM and internal systems
- Generate reports and assist with tracking service performance
- Provide general administrative and operational support as needed
Requirements
- Experience in administrative, operations, service coordination, or similar roles
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Ability to manage competing priorities in a fast-paced environment
- Proficiency in Google Suites and CRM systems
- Experience in solar, HVAC, construction, or service-based industries is a plus
